For efficiency, safe storage, and easy sharing, Google Docs (along with Drive) are fantastic tools.
Google Docs is extremely versatile in providing formats for spreadsheets, word processing document, forms, slide shows and a lot more. All files you create are stored in your Google Drive and are safe a secure, being accessible from any computer you're on (as long as you have your login details!)
I was first aware of all Google Docs can do only a year or two ago and now I'm completely hooked. I no longer store any work-related files on my computer or even an external hard drive. All of it is in Drive.
Another advantage of this is that it's easy to share any file with anyone (whether or not they have a Google account). Files can be share as "Can Edit" or "View Only". In "Can Edit" mode, when the person you share the file with makes a change, it automatically updates on your file, all of this in real time.
Here at our school, all the teachers use this functionality for...
- Digital Gradebooks
- Digital Attendance
- Digital Report Cards
- Lesson Plans
...and so much more.
What you'll find, also, is a large number of templates that Google has already put together for you to make things even easier. Our Gradebooks, for example, are a template which we customize for our classes. They're loaded with formulae which automatically calculate for you things like class average over the semester, class average per assessment, and individual averages. No more paper! Ever!
In terms of administrative work, Google Docs is also invaluable. All of our admin documents are stored in Drive and shared with the appropriate people when needed: Book order lists, meeting minutes and agenda, memos, class schedules, teacher workloads, it just goes on and on. Everything is now digital.
